Every stock movement has a reason attached
Damage, shrinkage, donations and returns, recorded with a reason, a staff member and notes, then synced to Shopify.
Why the number changed, not just that it did
Shopify will happily let you type a new quantity. Six months later nobody can say whether that was breakage, theft, a correction or a donation.
- Six built-in reasons. Correction, count, damaged, shrinkage or loss, returned to supplier, and promotion or donation. Add your own on top.
- Attribute it to a person. Record which staff member made the adjustment, kept as its own list so it works for warehouse staff who do not have Shopify logins.
- Notes for the context. Free text for the detail a reason code cannot carry, like which pallet or which customer.
| Item | Change | At cost |
|---|---|---|
| Waffle Throw · Oat WAF-OAT-01 | −8 | −$252.24 |
| Rope Basket · S ROP-BSK-S | −3 | −$41.10 |
| Cream Cap CRM-CAP-OS | +2 | +$12.80 |
Draft it, check it, apply it
An adjustment is scoped to one location and can hold as many lines as you need, positive or negative.
- Build before you commit. Add lines as a draft and review the whole adjustment before anything moves in Shopify.
- Applies as deltas. Quantities post as a change rather than an absolute, so concurrent sales are not overwritten.
- Numbered and archivable. Sequential numbering per store, with open and archived views so finished work leaves the working list.
- Import lines by CSV. Load a long list from a file rather than typing it, and export any adjustment back out.
What shrinkage actually cost you
Units alone do not tell you much. The adjustments report values every movement so the loss shows up in money.
- Cost impact per adjustment. See what each movement was worth, valued at cost, so damage and shrinkage can be quantified rather than estimated.
- Filter it down. By location, status, reason, date range, SKU, barcode or product.
- Export for your accountant. CSV and XLSX export on the whole filtered set.
Common questions
Can I add my own reasons?
Yes. The six built-in reasons cover the common cases and you can define as many of your own as you need. Built-in reasons cannot be deleted because historical adjustments reference them.
Do staff members need Shopify accounts?
No. Staff members are their own list inside Stockie, which is deliberate: the person who counted a shelf often does not have a Shopify login.
How do stocktakes relate to adjustments?
A stocktake applies its variance through this feature, using the built-in Count reason. That means counts and manual adjustments land in the same report with the same audit trail.
